Thomson Reuters – Global Trade Management

A desktop application product with a legacy of 25 years is currently undergoing a significant modernization effort. This transformation encompasses transitioning the product into a web-based application. Notably, the product encompasses various modules dedicated to streamlining Import/Export processes.

Problem Statement

Users must validate information, frequently sourced from the SAP system, and submit it to the Brazilian government to acquire essential export/import documents.

User Journey Map

The user’s journey highlights the need to validate information from the SAP system and reveals the challenges in navigating the complex workflow of preparing Brazilian export/import documentation.

User Flow

I worked extensively with stakeholders (POs, PMs) to gain a comprehensive understanding of the business and identify which modules and flows would have the most significant impact on users. With this definition in mind, we began creating the flows we would follow.

Designing at Scale

I collaborated with Thomson’s proprietary design system, adapting existing components and crafting new ones to enhance functionality for both the business and users. Furthermore, I developed documentation for these new components to support teams across business, development, and other relevant areas.

High Fidelity Prototype

I created a prototype mapping out the user flow, I connected the steps to visualize the entire process. This approach allowed for the execution of tasks.

Outcomes
Impact

The design-at-scale approach was crucial in advancing the business. Scaling design through a design system, redesigning components, creating new ones, and developing documentation, workshops, etc., significantly impacted operations.

From the users’ perspective, improvements in usability, accessibility, and design consistency made the experience more enjoyable, user-friendly, and reduced cognitive load.

A task that used to take me around 40 minutes, I can now complete in just 5 minutes. The implementation of the bulk editing tool has been incredibly helpful.

What I learned

The modernization project I worked on was highly complex and time-consuming. It involved individuals who had been working on the product for many years, bringing with them various biases, which posed a significant challenge for me.

Understanding that not everything follows the established path and believing in the power of user interviews, always prioritizing user needs, was a crucial lesson learned. Delivering some modules for users to use in their real-world scenarios brought many insights that could have been anticipated in the definition process, highlighting the importance of early user involvement—a crucial learning experience for me.
